Arthys Terms of service.
1. Acceptance of Terms
By accessing and using the Arthys LARP website (the “Site”), you agree to comply with and be bound by these Terms of Service (“Terms”). These Terms govern your use of the participation in Arthys events. If you do not agree to these Terms, you must not use the Site or register for any events.
2. Eligibility
You must be at least 18 years old to register for events. By registering for an event, you confirm that you meet this age requirement.
3. Non-Profit and Volunteer Organization
3.1 Volunteer-Driven: Arthys is a non-profit LARP organized entirely by volunteers dedicated to creating immersive events. As volunteers, we aim to do our best, but mistakes might occasionally occur. Please treat all organizers with understanding and respect as we strive to improve our events.
3.2 Fund Allocation: All funds collected through ticket sales, donations, and other means will be fully allocated towards the production of events. This includes costs related to event venues, food, props, costumes, and the continuous enhancement of future events. We ensure that 100% of the collected funds will be used to support and improve the experience for all participants, with no funds allocated to personal profit or outside interests.
4. Event Registration and Ticket Purchases
4.1 Event Registration: To register for an Arthys event, you must complete the event registration form, providing accurate and current information, including your name, email address, date of birth, emergency contact details, dietary preferences, allergies, and any hard triggers/phobias. This information will be used solely for event organization and participant safety purposes.
4.2 Triggers and Phobias: We use information about triggers and phobias strictly as a safety measure. We will always notify you if a scenario related to your listed triggers or phobias is about to occur. We will never use triggers or phobias against a player in any way. All information regarding triggers and phobias will remain private and will not be disclosed to anyone outside the team.
4.3 Ticket Purchases: Event tickets must be purchased via the Site. All payments are processed securely, and payment-related information is handled discreetly. Donations to support Arthys are optional and may be made at your discretion.
4.4 Ticket Resale and Transfer: Tickets may be resold, but you must notify the organizers of the resale. To complete the transfer, you must provide:
The full registration details of the new ticket holder, including their name, email address, date of birth, and any relevant emergency contact details.
Written consent from the original ticket holder permitting the transfer.
Notification and details must be sent to the organizers via email. Ticket resales and transfers are permitted up until 48 hours before the event. After this period, no changes to registrations will be accepted, and the original ticket holder will remain responsible for the ticket.
4.5 Cancellation and Refund Policy: Cancellations are allowed up to 30 days before the event for a full refund. Cancellations made less than 30 days before the event will not be fully refunded; cancellation after that period will be refunded for 50% up until 7 days before the event. If you need to cancel your participation, please contact us as soon as possible. Refunds will not be provided for cancellations within the 7-day period, and tickets may only be resold in accordance with Section 4.4.
5. Force Majeure
Arthys will not be held liable for any failure to perform its obligations under these Terms if such failure is due to events beyond our reasonable control. This includes, but is not limited to, natural disasters, war, terrorism, strikes, pandemics, government actions, sickness, or other unforeseen circumstances that prevent the holding of the event or the operation of the Site.
In the event that we must cancel an event due to such unforeseen circumstances, we will attempt to offer a partial refund or credit towards a future event, but this is not guaranteed. Refunds or credits provided will be at the discretion of Arthys and may vary depending on the specific circumstances of the cancellation.
6. Dispute Resolution
If you have a dispute with us regarding these Terms or your use of the Site, please contact us directly to try to resolve the issue. We aim to address and resolve concerns amicably.
7. User Conduct
By using the Site and participating in events or online communities (including our Discord channel), you agree to:
Treat all participants, organizers, and staff with respect.
Follow the Houserules and Safety guidelines outlined in the "Houserules and Safety" section of the Site.
Refrain from engaging in harassment, discrimination, or any behavior that threatens the safety or enjoyment of others.
Content Sharing: You may not share pictures, drawings, or other content related to Arthys, participants, or its events without explicit consent from the owner or subject of such content.
Arthys reserves the right to remove participants from events or online spaces without refund if they violate these standards of conduct.
8. Houserules and Safety
All participants are required to have read, understood, and agreed to the Terms of Service, Media policy, and Houserules and Safety guidelines outlined on the Site. By registering for an event, you confirm that you have reviewed these documents and are aware of their contents. Failure to comply with these guidelines may result in removal from the event without refund.
9. Content Ownership and Use
Any content (e.g., pictures, drawings) created and shared by participants remains the intellectual property of the creator. Arthys will never use, share, or distribute such content for promotional purposes without obtaining explicit, written consent from the creator.
10. Limitation of Liability
Participation in Arthys events is at your own risk. Arthys, its organizers, and staff are not responsible for any injuries, property damage, or losses that occur during an event. We strive to create a safe environment, but participants assume full responsibility for their own well-being.
11. Collaboration and Team Participation
11.1 Team Collaboration: If you agree to work with us as part of the Arthys team (whether as a volunteer, organizer, guest team member, or otherwise), you acknowledge and accept that Arthys reserves the right to end the collaboration at any time. If, in the judgment of the main board (as noted on the 'Team' page), continuing the collaboration is not in the best interest of Arthys due to any reason, we reserve the right to terminate the partnership.
11.2 Ownership of Content: Any content (such as stories, scenarios, artwork, etc.) created or written for Arthys during your time as part of the team, whether as a guest team member or otherwise, will remain the property of Arthys after the collaboration has ended. This ensures that the work contributed to Arthys can be used for the continued development of the world, storylines, and event continuity.
12. Changes to Terms
Arthys reserves the right to modify these Terms at any time. Any changes will be posted on this page, and continued use of the Site or participation in events after changes are posted constitutes acceptance of the updated Terms.
