To ensure a comfortable and safe environment for all participants, please follow our media guidelines outlined below:
1. Privacy and Access
1.1 Password-Protected Access: All official event photos will be uploaded to a password-protected platform. Access will be granted to participants only.
1.2 Opt-Out Option: If you do not wish to have your picture taken, you can indicate this preference during registration or notify an organizer at the event. We will respect your choice and make sure you are not included in official photos.
1.3 Requesting or Removing Photos: If you appear in any picture taken at the event and wish to have it removed, you have the right to request its deletion at any time. Please reach out to an organizer, and we will handle the request promptly.
2. Respectful Conduct Towards Photographers
2.1 Respect for Photographers: Please treat any photographers with respect.
2.2 Credit to Photographers: If you share any photos taken by an photographer, please credit them appropriately.
2.3 Use of AI: Do not upload or feed any photos taken at Arthys events into AI systems, including chatbots or tools that alter or transform images into different styles.
3. Photo Sharing Guidelines
3.1 14-Day Embargo: We ask that participants refrain from sharing any official photos on social media for 14 days after they are posted. This period allows everyone time to enjoy the event’s moments and any removal requests to be processed.
3.2 Permission Before Sharing: After the 14-day period, you are welcome to share photos on social media, but you must obtain permission from any other person visible in the picture before posting.
3.3 Permission Required: Participants should not take photographs of other attendees without their explicit consent. Before capturing or sharing any images featuring others, please ask for their permission.
4. Meme-Making and Creative Use of Photos
4.1 Memes of Your Own Character: You are free to create memes and have fun with pictures of your own character. Feel free to get creative!
4.2 Memes Involving Others: If you’d like to make memes featuring other participants, always ask for their permission first and be kind and please refrain from teasing or bullying.
4.3 Photographer Requests: Do not make memes of pictures taken by photographers who have requested not to. We ask that everyone honors these boundaries.
5. Official Promotional Pictures
5.1 Permission for Promotional Use: We will always ask permission from any people we'd like to include in official promotional pictures. No one will be featured in promotional materials without their explicit consent.
